Terms of service
The agreement that governs the Saff website, the Saff application, and how clinics and patients may use them.
Last updated: [TO BE COMPLETED BY THE OPERATOR — effective date]
Agreement to these terms
These terms are between you and [TO BE COMPLETED BY THE OPERATOR — registered legal entity name] and apply whenever you use the Saff website or application. If you use Saff as a member of a clinic's staff, you also accept them on that clinic's behalf and confirm you are authorised to do so. If you do not accept them, do not use the service.
Accounts
Clinic staff accounts are created and removed by that clinic's administrator, who is responsible for granting the right role to the right person. Patients register themselves or are registered by the clinic. Keep your credentials to yourself, enable two-factor authentication where your role offers it, and tell your clinic immediately if you think an account has been compromised.
What Saff provides
Saff is software. It manages queues and wait estimates, appointments and walk-ins, patient records, prescriptions, lab orders, referrals, notifications, invoicing and reporting for the clinic that licenses it. Which modules are available depends on the clinic's plan and its own configuration.
Saff does not provide medical care
We are not a healthcare provider and we give no medical advice. Every clinical decision, prescription, lab order and referral in the system is made and signed by the clinic's own licensed clinicians, who remain solely responsible for it. Never use Saff in an emergency — call your local emergency number or go to the nearest emergency department.
Wait times and travel estimates
Queue positions, wait times and arrival estimates are calculated from historical and live data and are estimates, not promises. Consultations overrun, urgent cases jump the queue and traffic changes. Do not rely on an estimate where being early or late has consequences.
Clinic responsibilities
A clinic using Saff is the controller of the patient data it puts into the platform. It is responsible for having a lawful basis for that data, for obtaining and recording patient consent where the law requires it, for the accuracy of what it enters, for the licences of its clinicians, and for responding to its patients' data-protection requests. Where the clinic connects its own messaging, payment or laboratory provider, it contracts with that provider directly and is bound by that provider's terms.
Patient responsibilities
Give accurate information — a wrong phone number means a missed reminder, and an incomplete allergy list is a clinical risk. Use the service only for your own care or for someone you are authorised to act for, and do not attempt to reach anybody else's record.
Acceptable use
Do not use Saff unlawfully; do not attempt to breach, probe or overload it; do not scrape it or resell access to it; do not upload malware or content you have no right to share; do not impersonate anyone; and do not use it to send unsolicited marketing. We may suspend access that threatens the safety of the platform or of patient data.
Fees and subscriptions
Clinic subscriptions are charged on the plan and billing period agreed in the clinic's order form or subscription record; no price is fixed by this page. Invoices are raised to the clinic, not to its patients. Unpaid subscriptions may lead to the clinic's access being suspended after notice.
Availability, maintenance and changes
We work to keep Saff available, but the service may be interrupted for maintenance, for a fault, or by a provider we depend on. We do not currently publish automated live availability monitoring, and our status page says so rather than implying otherwise. Unless a signed written agreement sets a specific availability commitment, the service is provided without one. We may add, change or retire features; changes that remove something a clinic depends on will be announced in advance where we reasonably can.
Data residency and infrastructure
Production data will be migrated to country-compliant infrastructure prior to clinic onboarding. Storage for each country follows that country's residency rules; cross-border transfer happens only where the destination is permitted and, for health data, only with the approval and consent the law requires. Test and staging environments are never used for real patient data.
Ownership
Saff, its software, design, brand and documentation belong to us. Clinic and patient data belongs to the clinic and its patients; we hold it to run the service for them and claim no ownership over it. We do not use clinical content to train models or to build products for anyone else.
Suspension and termination
A clinic may end its subscription in line with its agreement; we may suspend or end access for a serious or repeated breach of these terms, for non-payment after notice, or where the law requires it. Before access ends, export the data you need — clinics remain responsible for retaining records for the period the law requires of them.
Disclaimers and limits
Saff is provided as it stands, without any warranty that it will be uninterrupted or error-free. To the fullest extent the law allows, we are not liable for lost profits, lost data, or indirect or consequential loss, and our total liability is limited to the subscription fees paid for the service in the twelve months before the claim. Nothing here excludes liability that cannot lawfully be excluded — including for death or personal injury caused by negligence, or for fraud.
Changes to these terms
We may update these terms. The date at the top of the page shows when they last changed, and material changes will be notified to clinics in advance. Continuing to use Saff after a change means accepting the updated terms.
Governing law
These terms are governed by, and disputes are subject to, [TO BE COMPLETED BY THE OPERATOR — governing law and courts of jurisdiction]. Consumer rights that the law of your country of residence gives you are not affected.
